Co-ordination Division

Overview

The Coordination Division is pivotal in ensuring seamless management and execution of administrative tasks across various divisions of the Department. This division handles parliamentary affairs, legal cases, public grievances, RTI cases and overall coordination activities. The division is currently headed by an Economic Advisor (SAG level officer of the Indian Economic Service) and assisted by a Deputy Director and an Under Secretary.

1. Parliamentary Matters:

Deliverables:

Parliament Questions: Drafting responses and managing the submission of replies to questions raised in Parliament. This involves collating information from relevant divisons/departments/ministries and ensuring accuracy and compliance with parliamentary procedures.

 Parliament Assurances: Tracking and implementing assurances given by the government during parliamentary sessions. This includes following up on commitments made and ensuring that promised actions are executed within stipulated timelines.

Responsibilities:

  • Coordination with various departments to gather necessary data.
  • Drafting and vetting responses for accuracy and clarity.
  • Monitoring and updating the status of assurances.

2. Standing/Consultative Committees

Deliverables:

Issues Related to Standing/Consultative Committees: Managing correspondence and documentation related to the work of standing and consultative committees. This includes preparing briefing notes, reports, and responses to committee queries.

3. Legal and RTI Matters:

Deliverables:

Litigation Cases on PG Portal & LIMBS Portal: Managing legal cases registered on the Public Grievances (PG) Portal and the Legal Information Management & Briefing System (LIMBS) Portal. This involves tracking case progress and coordinating with legal teams.

RTI Cases: Handling Right to Information (RTI) requests by ensuring timely and accurate responses are provided.

Responsibilities:

  • Monitoring and updating case statuses on relevant portals.
  • Coordinating with legal advisors and departments for information and responses.
  • Ensuring compliance with legal deadlines and procedural requirements.

4. Annual Report Related Work:

Deliverables:

Annual Report and Related Work: Compiling annual reports, including achievements and performance metrics of the department or agency. This includes drafting, reviewing, and finalizing the report.

Information on Achievement of DCPC: Providing detailed reports on the achievements of the District Collector Public Coordination Committee (DCPC) or similar entities.

Reports on Projects/Programs/Schemes: Preparing reports on various projects, programs, schemes, and events such as inaugurations or foundation stone laying, and submitting them to the Prime Minister’s Office (PMO) and other ministries.

Responsibilities:

  • Coordinating with relevant policy divisions to gather information and data.
  • Drafting and reviewing reports for accuracy and comprehensiveness.
  • Submitting reports to appropriate stakeholders and ensuring timely delivery.

5. High-Level Documentation:

Deliverables:

Material for Important Issues: Preparing briefing material and content for speeches by the Prime Minister and President. This involves researching and drafting speeches on significant issues.

Draft Cabinet Notes: Drafting notes for Cabinet meetings, including summaries, recommendations, and background information.

References from Cabinet Secretariat, PMO, and Other Ministries: Handling references and correspondence received from the Cabinet Secretariat, PMO, and other ministries, ensuring timely responses and actions.

Responsibilities:

  • Researching and drafting content for high-level speeches and cabinet notes.
  • Coordinating with relevant departments for accurate and up-to-date information.
  • Managing and responding to official references and correspondence.

6. Pragati and Miscellaneous Coordination:

Deliverables:

Issues on Pragati: Addressing and resolving issues flagged on the Pragati platform, which monitors and resolves grievances and project-related issues.

Miscellaneous Coordination: Handling various coordination-related tasks involving policy divisions, including organizing meetings and ensuring smooth operations.

7. Review Meetings:

Deliverables:

Holding of SoM and e-Samiksha: Organizing weekly Senior Officers Meetings (SoM) and e-Samiksha meetings to review and assess departmental performance and project status.

Responsibilities:

  • Preparing agendas, collecting reports, and managing the logistics of review meetings.
  • Coordinating with policy divisions to gather performance data and project updates.

8. Monitoring Public Grievances:

Deliverables:

Monitoring of Public Grievances: Overseeing the management and resolution of public grievances, ensuring effective handling and timely responses.

Responsibilities:

  • Tracking grievances and coordinating with relevant departments for resolution.

Monitoring grievance redressal mechanisms and ensuring compliance with procedures.
